AI Automations Guide
This whole app is an AI automation engine. Its Template Library is a set of 75 ready-to-run AI document automations that draft polished, mission-aligned writing from a few plain answers about your organization. You can also upload your own recurring documents as private custom templates, and when no template fits, describe what you need on the dashboard and let the AI draft it freeform. You review and edit everything before it goes anywhere.
How AI Automations Work
Open Template Library in the sidebar. Each template is a single AI automation: a small form that asks a handful of plain questions (your organization name, a donor name, a few key points), and a Generate button that drafts a complete document in seconds. The library opens grouped by department (Fundraising, Communications, Volunteer Mgmt, Programs, Governance, HR & Operations, Finance, Strategy, and Operations), so related documents sit together. You can also filter by cadence (Daily, Weekly, Monthly, Quarterly, Annual), by a search box, and by your favorites, and the department grouping stays in place.
Two newer ways in: 📤 Upload your own template on the Template Library page turns any letter or document your organization writes repeatedly into a private, reusable custom template (the AI detects the fill-in fields for you), and the dashboard's What do you need? search matches your plain-language request to the best templates, with a ✨ Draft it with AI instead option that writes the document freeform when no template fits.
When the draft appears, it opens in an editor. From there you can Copy it, download it as a Word document (with your letterhead, footer, and signature if you have set them under Organization Settings) or a plain Text file, Print it or save it as a PDF, or Email it to one or more people such as a colleague or your board. You can also save it to the Outbox to approve and send later.
The draft is built only from what you tell it and the organization profile you set up. It does not invent facts, figures, or names; where something is unknown it leaves a [bracketed] prompt for you to fill in. Sign in with your All In One Nonprofit account to use the automations.
Every output is a starting point meant to be read and edited. Check names, numbers, dates, and any claims about your programs before you send or publish. For governance, financial, or legal documents, have the right person review the draft first.
The organization profile and the snippet library under Organization Settings store your mission, name, and stock language one time, so every automation starts already informed about who you are.
The Template Library, by Department
This is how the library opens in the app: the 75 automations grouped by the department that owns the work, listed A to Z within each group, with your organization's own custom templates in their own section. Use the cadence, search, and favorites filters to narrow the list, and the department grouping stays in place. Each item notes its typical cadence.

Annual Automations In-depth
The big once-a-year pieces: the annual report, the year-end campaign, and the annual planning and compliance documents.
What is inside
- Annual report sections: program highlights, the financial narrative, a privacy-safe impact story, the Executive Director annual letter, infographic callouts, and an impact snapshot one-pager
- The year-end push: a fundraising appeal letter, a multi-part email series, and an annual case for support document
- Grant progress and final reports, and an annual work plan or operational plan
- Governance: a conflict of interest disclosure memo and board self-assessment survey questions
- An annual content calendar with themes, plus a Prompt of the Week to keep ideas flowing
Exports & Branding
Every automation output offers the same export toolbar: Copy, Word (.docx), Text (.txt), Print or save as PDF, and Email to one or more addresses.
Set your letterhead, footer, and signature once under Organization Settings and they flow onto your Word exports and printed documents automatically. Letters and emails place the signature after the closing; longer documents can include it as well. When a letterhead image is in use it carries your branding, so the document reads like real organization stationery rather than a screenshot of an app.
The Review Outbox
Drafts you are not ready to send can go to the Outbox: a simple approve-and-send queue. Save an output there, come back when you have a moment, give it a final read, and approve it. This is the human review step that keeps AI-assisted writing trustworthy: nothing leaves your organization without a person signing off.
The real time savings come from a routine you trust: a template you know, your organization snippets attached, a draft into the Outbox, a quick review, then send. That turns a long writing task into a short edit, week after week.
Prompt of the Week
A lightweight weekly nudge that suggests a timely document to create, so the library stays useful instead of forgotten. It points you at the automation that fits the moment in your calendar, such as a year-end appeal in November or board minutes the week of a meeting.
